Good news is in the offing for Gujarat University (GU) students planning to study in foreign universities. Admission applications to foreign universities require submission of transcripts, at present a tedious process for GU students. But soon the process will become online, saving students a lot of hassle. About 8,000 to 9,000 students apply for transcripts with GU authorities every year. The online facility, to be available initially for only the BBA and BCA courses, will be extended to all the GU courses within three to four months.
Transcripts are papers which contain information like syllabus, course, weightage given to different subjects, etc. in a format acceptable to foreign universities. The grading system followed by Indian universities varies vastly with that of the foreign universities and transcript is nothing but converting Indian grading system into one followed by foreign universities. Till now, procuring a transcript for a GU student involves making several rounds of one's college, getting the transcript prepared and then getting it certified from GU.
Besides time and energy, students usually spend Rs 1,000 to get the transcripts made. All this is set to change. Acknowledging the plan, GU Vice Chancellor Dr M N Patel said, "GU has embarked on digitalisation process. Gradually, everything involved with operations of the university will go online. Officials Records (OR) post the introduction of the semester system have been digitalized while the prior OR will be converted soon. Providing the facility of online transcript to students is part of the same digitalisation process." The current process poses lots of hassles to students, he said. Often delays are caused in getting transcripts which affects the students' admission applications in foreign universities, he further said.
"The new software, which is being developed by a private engineering college, will iron out these problems. In the new system, a student would be required to generate his/her login id and password before submitting details like name, age, course etc. undertaken. The details will reach the Examination Department at GU where officials will crosscheck the details submitted with their records. Thereafter, a notification would be sent to the student's email id and mobile number and he/ she will be able to procure his/her transcript. The student will be charged the necessary amount via net banking or similar other methods," Patel explained. The new software is already undergoing trials and should be available soon. GU is embarking upon the much needed process when younger universities like Gujarat Technological University already provide online transcripts.

LJ INSTITUTE DEVELOPING SOFTWARE
The much anticipated software is being developed at LJ Institute of Computer Applications. Three students — Kirtan Gajjar, Het Kansara and Jay Patel from the first batch of five-year integrated MCA course at LJ Institute — are developing the software under the guidance of faculty members Dr. Dipti Chudgar, Prof Alok Manke and Prof Sonal Patel. The institute is also working on other digitalisation projects for the Gujarat University like timetable management, attendance management and ICard Generation modules. Timetable management will offer details like lecture subject, name of the lecturer and number of students attending it at a click of button, helping the varsity to keep a close eye on day to day operations. Under the Icard generation module, a student will get a temporary I card at the time of enrollment. Currently, it is made available only after the admission. These softwares will be handed over to GU soon.
